How we handle the information you send us through this website — what we collect, why we need it, who can see it and how to ask us to change or remove it.
1. Introduction
Fiesta Asia Travel is a Destination Management Company (DMC) operating in Vietnam, Cambodia and Laos. We plan and run ground programmes for travel agents, tour operators, OTAs, wholesalers and MICE planners, and our office is at 25 Mai Thi Luu Street, Ho Chi Minh City, Vietnam.
We take privacy seriously, and we would rather explain ourselves in plain English than hide behind ten pages of legal boilerplate. This policy sets out what personal information we collect through fiestaasiatravel.com, what we do with it, how long we keep it and what you can ask us to do about it.

A note on who this site is for. Fiesta Asia Travel works with travel businesses rather than the travelling public. Information submitted through this website is used to respond to genuine trade enquiries and to provide travel-related services. Most of the details we receive are professional business contact details — your name, your agency and your work email — rather than private consumer information.
2. Information we collect
Information you give us
Our enquiry forms only ask for what we need in order to quote accurately. Depending on which form you use, that may include:
- Your full name
- Your company or agency name
- Your email address
- Your phone number, including country code
- Your country
- The destination or itinerary you are asking about
- Your travel requirements, preferred travel month or dates
- Number of travellers, and preferred hotel category where relevant
- Any additional message or notes you choose to add
You decide what to send us. Only a few fields are required — everything else is optional, and you are welcome to keep a first enquiry deliberately vague.
Information collected automatically
Like almost every website, ours records some technical information when you visit. This can include:
- Your IP address
- Your browser type and version
- Your device type — for example mobile, tablet or desktop
- The pages you visit and when
- The website or search engine that referred you
- Campaign tracking parameters in the link you arrived through, such as UTM tags or advertising click identifiers
We use your IP address for two practical purposes: writing server logs so we can diagnose faults, and limiting how many times the same visitor can submit a form in a short period, which is how we keep automated spam out of our inbox.
3. How we use your information
We use the information you send us to:
- Respond to your enquiry and answer your questions
- Prepare quotations and costed, white-label proposals
- Deliver our Destination Management Company services on the ground
- Provide customer support before, during and after your clients travel
- Keep normal business records of the work we have quoted and operated
- Understand which pages and campaigns bring genuine trade enquiries, so we spend our marketing budget sensibly
- Monitor and improve the performance, security and reliability of this website
- Send you information you have specifically asked us for
- Meet our legal, accounting and regulatory obligations
We do not use your details to send unsolicited marketing. If we ever start a trade newsletter, it will be opt-in, and every message will carry a one-click unsubscribe link.
4. Cookies and similar technologies
We want to be straightforward here: at the time of writing, this website sets no cookies of its own and runs no analytics or advertising trackers. There is no Google Analytics tag and no Meta Pixel on this site.
That may change as the business grows. If and when we introduce cookies or similar technologies, they would be used for:
- Website functionality — remembering choices so the site behaves sensibly as you move between pages
- Analytics — understanding which pages are useful and where visitors get stuck
- Performance monitoring — spotting slow pages and errors
- Marketing attribution — recognising which campaign a trade enquiry originated from

5. Third-party services
We keep our technology deliberately simple, but a few outside services are involved in running this site and replying to you. Because your browser loads some files directly from them, those providers may automatically receive your IP address and basic technical details.
- Microsoft 365 — our business email. Enquiries submitted through the website are delivered to and stored in our Microsoft 365 mailboxes, and our replies are sent from them.
- Google Fonts — supplies the typefaces used across the site.
- Cloudflare cdnjs and jsDelivr — content delivery networks that serve the animation and smooth-scrolling libraries used for the site’s motion.
- Unsplash — hosts some of the photography displayed on our pages.
We only list services genuinely in use. If we add analytics, advertising or a customer relationship system later, we will name it here.
6. Data sharing
We do not sell your personal information, and we never trade or rent contact lists.
We share information only where it is necessary to:
- Deliver the services you have asked for — for example passing a guest name to a hotel, a guide or a transport supplier so a booking can actually be made
- Work with trusted service providers who help us operate, such as our email provider, on terms that require them to protect the information
- Meet legal requirements, including responding to lawful requests from authorities or protecting our legal rights
When we pass details to a supplier in order to confirm a booking, we send only what that supplier needs — typically a name and the service details, not your full enquiry history.
7. Data security
We take reasonable technical and organisational measures to protect the information we hold, including:
- Serving this website over HTTPS, so information submitted through our forms is encrypted in transit
- Hosting on secured servers with access limited to the people who maintain them
- Restricting internal access to enquiry data to the team members who need it to do their job
- Password-protected accounts and systems, with credentials stored securely rather than in plain text
We should be honest that no method of transmission or storage over the internet is completely secure. We work to protect your information, but we cannot guarantee absolute security. If a breach ever affected your personal data, we would act promptly and tell affected parties where we are required to.
8. Data retention
We keep enquiries only as long as there is a reasonable business need. In practice that means:
- Active enquiries and quotations — while we are working on them and for a reasonable follow-up period afterwards, because trade enquiries often turn into bookings months later
- Confirmed bookings — for as long as needed to operate the programme and to keep proper business and accounting records
- Server logs — for a short period, for security and troubleshooting
When information is no longer needed for these purposes or to meet a legal obligation, we delete it or stop associating it with you.
9. Your rights
You can ask us at any time to:
- Access the personal information we hold about you
- Correct anything that is inaccurate or out of date
- Delete your information, where we are not required to keep it for legal or accounting reasons
- Withdraw consent for any marketing communications, at any time and without giving a reason
- Object to or restrict how we use your information in certain circumstances
Email us using the details below and we will respond within a reasonable period. We may need to confirm who you are before releasing information, which protects you as much as us. Depending on where you are based, you may also have the right to complain to your local data protection authority.
