Questions trade partners ask us

Can you handle large corporate groups?

Yes. We run programmes from around 10 delegates up to 1,000, and the venue, transport fleet, staffing ratio and production scale are matched to the group size. For larger conferences we work from a delegate manifest and movement plan rather than a simple rooming list, so arrivals, sessions and transfers stay coordinated.

Can you manage both the travel programme and the event itself?

Yes — that is the main reason partners come to us. Flights aside, one team handles hotels, transfers, meals and experiences and the conference or gala production: venue, staging, AV, branding, entertainment and run-of-show. You are not coordinating a travel agent and an event producer separately.

Do you provide a dedicated on-ground MICE coordinator?

Yes. Every programme is assigned a named producer who owns it from the first brief through to post-event reconciliation, and who is physically on site for the live days. For larger groups the producer is supported by additional coordinators at the airport, hotel desk and venue.

How far in advance should we plan a MICE programme?

For a small incentive group, six to eight weeks is usually workable. For a conference or gala needing specific ballroom capacity, three to six months is more comfortable — peak season (October to April) and large room blocks are the two things that get tight first. We will tell you honestly at proposal stage if your dates are difficult.

Can you arrange gala dinners, entertainment and event production?

Yes. This includes venue sourcing and dressing, lighting and stage build, AV and live-streaming, awards run-of-show, local and international entertainment, plated or banquet F&B service, and photography or videography with a highlights reel on handover.

Can you create programmes across Vietnam, Cambodia and Laos?

Yes, including cross-border programmes on a single contract. We have in-house operations teams in all three countries, so a Hanoi conference followed by a Siem Reap incentive extension is handled by one coordinator with one point of accountability — not three separate local suppliers.

How do you handle last-minute changes or operational issues?

Contingencies are built into the plan before arrival: reserve vehicles for transfers, indoor alternatives held for every outdoor element, spare AV inventory on site with a technician through live sessions, and a 24/7 coordinator contact. When a flight slips or the weather turns, we are moving to a prepared plan rather than improvising.

Can you arrange site inspections before the event?

Yes. We arrange site inspections and familiarisation visits so you or your client can walk the venue, check the ballroom and meet the hotel team before committing. For remote decisions we can supply floor plans, capacity charts and a walkthrough video instead.
